Hello Softinn PMS users!
Let’s imagine that you have a walk-in guest, Laila, who will check-in on 10th September for 2 nights for Queen Bed Room. She did not make any payment when she checked-in. After her first night stay, the guest requests to upgrade the room to Villa Room for her 2nd night.

Steps to Handle the Guest Folio for Change of Room Type During Guest’s Stayover for Walk-In Guest:
Follow the guidelines below:
Step 1 : Login to Softinn PMS
Step 2 : Select the correct property
Step 3 : Click “Reservation”
Step 4 : Click on the “Option” menu icon and then select “Shorten Stay”
Step 5 : Choose the number of nights to be shortened
Step 6 : Click on the “Save” button
Step 7 : Then, you need to add the 2nd night for Villa Room type. Click on the “Option” menu icon and then select “Add Room”
Step 8 : On the “Add Room” window pop-up, select the right check-in and check-out date
Step 9 : Select the Villa Room type & room number
Step 10 : Select the rate plan or insert the Daily Rates for Villa Room
Step 11 : Once done, click on the “Save” button.
Step 12 : Click on the “Option” menu icon and then select “View Folio” to open the guest folio for the Queen Bed Room.
Let’s say Laila will only make payment when she checks out, you may move the charges of F01 to F02 to aggregate the total room charges.
Step 13 : Click on the “Move” button of the room charges
Step 14 : Choose to move to F02. Click “Move Transaction“
Step 15 : Click “Yes, move it!” button
Step 16 : Check out for Queen Bed Room Folio
On 12th September, Laila makes payment when she checks out.
Step 17 : Go to the Villa Room Folio and click “Add Payment” button to add the payment
Step 18 :
- Fill in the payment received amount and select the right payment method and account
- Click ” Add Payment“
Step 19 : Proceed to check-out Laila, for Villa Room Folio
Step 20 : Generate the invoice and receipt for Laila
