How to Remove or Deactivate Room Type on Softinn Account Portal (For PMS Users)?
Follow the guidelines below:
Step 1 : First of all, if you are using Channel Manager, you need to deactivate the room type on each of your OTAs’ Extranet first.
Step 2 : Then, log in to Softinn PMS.
Step 3 : Select the correct property.
Step 4 : You have to make sure the existing rooms that you wish to deactivate are cleared from any reservations.
Step 5 : If there’s one reservation assigned to the room type, you need to re-assign this reservation to another room type.
Step 6 : Drag and drop the reservation to the room of another room type. Check that all details are correct and click ‘Save Changes’.
Step 7 : Other than reservation, you need to make sure all the rooms of this room type are cleared from any type of allocations too. For example, cleaning, maintenance and miscellaneous allocation.
Step 8 : In this example, I have one miscellaneous allocation attached to one of the rooms.
Step 9 : To remove the allocation, right click on the allocation and click ‘Remove Allocation’.
Step 10 : Once you have checked and made sure the room is free from any future reservations or any allocations, proceed to login to Softinn Account Portal.
Step 11 : Choose the right property. Click on ‘Room Type’.
Step 12 : Look for the affected room type. In this case, it is ‘My Space at Kota’.
Step 13 : Click on ‘Action’, then choose ‘Edit Room Number’.
Step 14 : Then, proceed to deactivate all the room numbers.
Step 15 : Next, go back to the Previous Page.
Step 16 : Look for My Space at Kota again to edit the room details.
Step 17 : Make sure to reduce the number of built units and default allotment to 0.
Step 18 : Once done, click ‘Save’.
Step 19 : Lastly, deactivate the room type.
Step 20 : In this example. I need to reduce the number of rooms to 0 and then deactivate the My Space at Kota Room.
Step 21 : Then, go back to the PMS Calendar page.
Step 22 : You shall see that the room number has been removed from the Calendar page.
Then, go to the PMS Inventory Page.
Step 23 : Click the ‘Sync From PMS Calendar’ button so the availability in the PMS Inventory page will be updated accordingly, following the latest availability you have on the PMS Calendar page.
Step 24 : Once this is clicked, the updated availability will be synced to all the connected OTAs, if you are using channel manager.
Step 25 : The availability will also be updated to the direct booking engine, if you are using Softinn Booking Engine.
Step 26 : Lastly, if you are using a channel manager, you have to remove the channel mapping for this room type.
Step 27 : To do this, click ‘Setup’, and then go to ‘General’ and click on ‘Booking Source & Connectivity’.
Step 28 : Scroll down to the Channel Mapping section. Click ‘Map’ for one of the OTAs.
Step 29 : Select the room type you want to deactivate. For example, I want to deactivate the My Space at Kota room. Click ‘Unmap’.
Step 30 : Once done, you will see the notification ‘Rate Plan Unmapped Successfully‘. Repeat the same for other OTAs, if any.
