Hello Softinn PMS Users!

Scenario: If your property subscribes to the Softinn Channel Manager integrated with Softinn PMS, you can use the Inventory page to manage and sync your room availability, rate plans, and pricing across all your connected Online Travel Agencies (OTAs).

Steps to Navigate Inventory Page :

Phase 1: How to Access the Inventory Page

• Step 1: Log in to Softinn PMS and select the correct property.
• Step 2: Click Back Office on the top navigation bar, then select Inventory.

Phase 2: Navigation, Filtering, and Options

1. Search and View Controls

• Search Box (Top Left): Type to quickly search for a specific room type or rate plan name.
• Filter Icon: Filter the table to display only selected room types or rate plans.
• Date Selector (Top Right): Click the date picker or use the left/right arrows to change the displayed date range.
• Display Preferences: You can sort room types and rate plans, or toggle Occupancy to display as a raw number or as a percentage.

2. Secondary Options Menu (Three-Dot Button)

Click the three-dot icon (…) at the top right to access secondary tools:

• Quick Update: Batch modify rates or availability over specific date ranges.
• Sync From PMS Calendar: Copies the live room allotment from the PMS Calendar directly into the OTA Availability matrix.
• Holiday: View local holiday indicators overlaid on the inventory calendar.
• View Restriction: Inspect stay restrictions (such as Minimum Stay or Stop Sell) applied to rate plans.

Phase 3: Managing Inventory, Rates, and OTA Connections

1. Room Type & Availability Matrix

• Expand/Collapse: Click the arrow next to a room type to expand its rate plans, or click Show All to expand or collapse all room types at once.
• Availability Counter: Represents the exact number of room units pushed to connected OTAs.
  • Automatic Deduction: Availability automatically decreases when a new reservation is received or when dates/rooms are blocked on the PMS Calendar.
  • Manual Edits: Click directly on any availability cell to manually overwrite the number of rooms available for sale.

2. Rate Plans & Channel Manager Integration

• Rate Adjustments: Click directly on any rate figure under a rate plan to edit the price for that specific date.
• Plug Icon Indicator: A plug icon next to a rate plan name indicates that it is actively connected and syncing live with the Channel Manager.

3. Bulk Updates & Legend Reference

• Bulk Edit: Click the Bulk Edit button next to any room type header to update rates, availability, or restrictions across multiple dates simultaneously.
• Legends: Review the footer legend at the bottom of the page for color codes and status indicators.

Notes: Sync From PMS Calendar overwrites existing OTA availability using your current PMS calendar allotments. Because this action cannot be undone, double-check your calendar numbers before executing a sync!
