How to Setup Report Email on Softinn PMS

Hello Softinn PMS user, frequently you will be requested to submit a periodical reports to your boss, manager, superior, or property owner for their business analysis. Sending those reports manually is not an easy task.

With Softinn PMS, you can Setup Report Email which helps you to automate the delivery of reports by email to your designated recipients and makes your work easier 🙂

Steps to Setup Report Email in Softinn PMS:


Follow the guidelines below:

Step 1 : Go to Softinn PMS

Step 2 : Select the right property

Step 3 : Click on ‘SETUP REPORT EMAIL’

Step 4 : To add report email choose ‘+Setup Report Email’

Step 5 : Insert the ‘Recipient Email Address’. Click ‘Add’

Step 6 : Choose the frequency for the report email by ‘Day, Week or Month’

For Weekly, you can choose any day within the week.

For Monthly, you can choose any date within the month.

Step 7 : Choose the ‘Property Group’, if any

Step 8 : Choose the ‘Specific Properties’, if any

Step 9 : Tick on ‘Reports’ that the recipient would like to receive in the email.

Step 10 : Click ‘Save Changes’. Click ‘Yes, Add it!’.

On the ‘Report Email Dashboard’ will display the following info:

  • To : The recipient’s email address.
  • Frequency : By Daily, Weekly, or Monthly at 3.00am.
  • Properties : The property name.
  • Report : The type of report that will be included in the email.
  • Last Sent : The date and time the reports been sent

 

Steps to Edit Report Email Setup in Softinn PMS:


You can edit the report email in Softinn PMS when you want to have additional recipients to access the same reports that you have setup previously. Even, you can choose additional reports to be included in the email. Let’s find out how to do it 🙂

Follow the guidelines below:

Step 1 : To edit report email, on the Setup Report Email dashboard choose ‘Edit’.

Step 2 : Insert the ‘Additional Recipient Email Address’. Click ‘Add’

Step 3 : Tick on the ‘Additional Reports’ that you want to be included in the email

Step 4 : Click ‘Save Changes’. Click ‘Yes, Add it!’.

 

Steps to Manually Send Report Email in Softinn PMS:


Now, if you were requested to send previous months report, let’s find out how to manually trigger previous month reports in Softinn PMS

Follow the guidelines below:

Step 1 : To manually send the report email, on the Setup Report Email dashboard choose ‘Sent Reports’.

Step 2 : On the ‘Date Range’, select the date as required

Step 3 : Click ‘Save Changes’. Click ‘Yes, Add it!’.

Step 4: Get your recipient to check their email inbox for the reports. The reports will be sent in the Excel file format as attachment.
