How to Close a Room on the PMS Calendar

Scenario: A specific room requires temporary closure due to maintenance (e.g., plumbing issues, deep cleaning, or repairs). To prevent front-desk staff from accidentally assigning guests to this room and to ensure your online inventory stays accurate, you need to block it out on the calendar.

Steps to Close a Room for Maintenance


Follow the steps below:

  • Step 1: Log in to Softinn PMS and go to the Calendar page.
  • Step 2: Click on the Close Room button located at the top of the calendar interface.
  • Step 3: Select the Date Range (start date and end date) for how long the room will be out of service.
  • Step 4: Choose the specific Room Type from the dropdown, and then select the exact Room Number you want to close.
  • Step 5: Select the Allocation Type. For physical repairs or cleaning, choose Maintenance.
  • Step 6: Click Save Changes to apply the block.

How to Verify the Room Closure

  • Check the Calendar: Return to the PMS Calendar page and verify that a distinct block (marked as Maintenance) is now visible across your selected dates.
  • Check Room Status: Navigate to the Room Status tab to double-check that the room is officially marked as blocked and unavailable for check-ins.

Notes: Closing a room automatically deducts it from your property’s total available inventory for those dates. This prevents overbookings across both your manual walk-ins and connected online travel agencies (OTAs).
