Hello Softinn PMS user!
As a Hotel Front Desk, upon the guest check-in, you would need to prepare a Sign-In Form manually and get the guest to sign on the form.
With Softinn PMS, you could save the time as you could generate a guest Sign-In Form in the system directly. On top of it, you also could setup the guest Sign-In Form based on your Hotel standard and preferences.

Steps to Setup for Guest Sign-In Form in Softinn PMS :
Follow the guidelines below:
Step 1 : Login to Softinn PMS
Step 2 : Select the correct property
Step 3 : Go to ‘Setup‘ and go to ‘Design‘
Step 4 : Click ‘Sign-In Form‘
You could add multiple Sign-In Form templates, such as :
- Sign-In Form with Room Charges Details
- Sign-In Form without Room Charges Details
You could use the Sign-In Form with Room Charges Details for Direct Booking & Walk-in Reservation guest. Indirectly, this Sign-In Form template is suitable to be used for booking which payment is collected by Hotel.
Steps to Add Sign-In Form with Room Charges Details :
Follow the guidelines below:
Step 1 : Insert the Template Name, for example : Sign-In Form with Room Charges Details
Step 2 : Click to upload your Hotel logo
Step 3 : Choose your preferred font style & customize Sign-In Form Date format
*Note : We have added new font types, Microsoft Yahei and Simsun, to support Chinese characters. Once you apply this font type, the chinese characters will be displayed when you generate the Sign-in Form.
Step 4 : You are able to set up the name for the Sign-In Form name. For example, Room Confirmation Form.
Step 5 : You could insert your Hotel’s policy or Terms & Conditions
Step 6 : Tick on ‘Show Full Charges‘ if you want the information to be shown on the form for your guest
Step 7 : Tick ‘Yes‘ if you want to have a column in the form to record guest body temperature reading
Step 8 : Tick ‘Yes‘ if you want to know the form was issued by which Front Desk and at when
Step 9 : Tick ‘Yes‘ if you want the form to have a signatory column for your Hotel Front Desk
Step 10 : Click ‘Save Changes‘ to save your template
You could use Sign-In Form without Room Charges Details for the Booking received through OTAs. Indirectly, this Sign-In Form template is suitable to be used for booking which payment is collected by OTAs channel.
Steps to Add Sign-In Form without Room Charges Details :
Follow the guidelines below:
Step 1 : Insert the Template Name, for example : Sign-In Form without Room Charges Details
Step 2 : Click to upload your Hotel logo
Step 3 : Choose your preferred font style & customize Sign-In Form Date format
*Note : We have added new font types, Microsoft Yahei and Simsun, to support Chinese characters. Once you apply this font type, the chinese characters will be displayed when you generate the Sign-in Form.
Step 4 : You are able to set up the name for the Sign-In Form name. For example, Sign-In Form.
Step 5 : You could insert your Hotel’s policy or Terms & Conditions
Step 6 : You could choose either you want the form to have ‘Show Taxes Only’ or ‘Hidden’ to hide the room charges details
Step 7 : Tick ‘Yes‘ if you want to have a column in the form to record guest body temperature reading
Step 8 : Tick ‘Yes‘ if you want to know the form was issued by which Front Desk and at when
Step 9 : Tick ‘Yes‘ if you want the form to have a signatory column for your Hotel Front Desk
Step 10 : Click ‘Save Changes‘ to save your template
Note :
- You could delete the template if needed.
