How to Setup Receipt & Invoice Design on Softinn PMS

Hello Softinn PMS user! When you are operating your hotel, it’s good to have a customised design for your receipt and invoice. For a seamless check-in and check-out payment process, you can opt to have your receipt and invoice number to be generated automatically as well.

You can setup your receipt and invoice design and autogenerate receipt and invoice number on Softinn PMS.

Steps to Setup Receipt & Invoice Design on Softinn PMS.


Follow the guidelines below:

Introduction to Receipt/Invoice Setup Page on Softinn PMS

Step 1 : Login to Softinn Extranet: https://booking.mysoftinn.com/

Step 2 : Select the right property

Step 3 : Click on your email ID on the top right of the page.

Step 4 : Click “Go to PMS”.  You will be automatically logged-in to Softinn PMS.

Step 5 : Click “Setup”.

Step 6 : Click “Design”.  

Step 7 : Choose to design “Receipt” or “Invoice”. You will get to the Receipt or Invoice page. 

 

PART 1  : Setup Receipt Design 

Step 1 : At the Receipt Setup page, upload your logo for the official receipt. The logo will be shown on the receipt issued

Step 2 : Choose your preferred font type & date format to be displayed on your receipt.

Step 3 : Customise your Receipt by adding a Receipt Prefix at Receipt Prefix section. (Eg. OR. Your receipt number will all start with OR – XXXXXXXX).

Step 4 : Choose to turn ON or OFF to autogenerate your Receipt Number.

  • Select “Off” if you prefer to manually key in the receipt number by yourself.
  • Select “On” if you want Softinn PMS system to autogenerate the Receipt Number for you. The Receipt Number will be created automatically in running number order. 

Step 5 : Click “Save Changes” once done. Click “Reset” if you want to redo the design.

*NOTE: You can always preview the design of your official receipt from the sample receipt shown at the right side of the screen.

 

 PART 2  : Setup Invoice Design 

Step 1 : At the Invoice Setup page, upload your logo for the official invoice. The logo will be shown on the invoice issued

Step 2 : Choose your preferred font type & date format to be displayed on your invoice.

Step 3 : Customise your Invoice by adding an Invoice Prefix at the Invoice Prefix section. (Eg. INV. Your invoice number will all start with INV – XXXXXXXX).

Step 4 : Choose to turn ON or OFF to autogenerate your Invoice Number.

  • Select “Off” if you prefer to manually key in the invoice number by yourself, manually.
  • Select “On” if you want Softinn PMS system to autogenerate the Invoice Number for you. The Invoice Number will be created automatically in running number order. 

Step 5 : Click “Save Changes” once done. Click “Reset” if you want to redo the design.

*NOTE: The design preview  of your official invoice shown at the right side of the screen.
