Hello Softinn PMS users!

Scenario : Your hotel has a Presidential Suite with 12 room numbers in Softinn PMS. Due to renovation or maintenance, 1 room will be temporarily closed. To prevent overbooking and ensure correct availability on OTA, you need to reduce the room numbers for this existing room type.

Steps to Modify Room Numbers for

Existing Room Type in Softinn PMS :

Follow the guidelines below :

Step 1 : Login to Softinn PMS.

Step 2 : Go to the Calendar page.

Step 3 : Navigate to the affected room type and the room number that you would like to deactivate.

Please ensure there is no reservation and allocation created on the affected room.

Step 4 : If there is a reservation, drag and drop the reservation to another room type.

Step 5 : Check if the details are correct before save.

Step 6 : Then, click on the “Save Changes” button to save.

The allocation needs to be removed too if there is.

Step 7 : Right click on the allocation.

Step 8 : Click on the “Remove Allocation” button to remove.

The affected room is now cleared from any reservations and allocations.

Step 9 : Next, navigate to Setup tab and choose Room Type & No. menu.

Step 10 : Select the affected room type.

Step  11 : Then, navigate to the room numbers for that room type.

Step  12 : Continue to deactivate the room number.

Step 13 : Navigate to the room type.

Step  14 : Click on the edit button.

Step 15 : Enter the new No. of Rooms.

Step 16 : Once done, click on the Save Changes button to save.

Step 17 : No. of Rooms has been successfully reduced from 12 to 11.

Step 18 : Next, go to the Inventory page.

Step 19 : Click on the “Sync from PMS Calendar” button.

Step 20 : Check whether the changes reflected correctly. 

Step 21 : Go to the Calendar page.

Step  22 : Notice that VR002 room has been successfully removed.

Note : Please check on the OTA extranet to confirm if the changes reflected correctly. If you are a STAAH and Siteminder Channel Manager user, please check on the respective extranet too.
