Steps to Update and Upgrade Room for Your Guest in PMS:
Follow the guidelines below:
Step 1 : Login to Softinn PMS
Step 2 : Click “Reservation”.
Step 3 : After you have found the reservation that you want to make amendment, click the “Edit” icon.
Step 4 : In the room type column, choose the other room type that your guest want to change to. Then, change the room number in the room number column.
Step 5 : Update the Room Charge to follow the new room’s price charges.
Step 6 : Once done, click “Save Reservation”. The reservation of guest has been updated. You can see the room number has changed at the reservation.
Step 7 : The changes in Booking and Charges are automatically recorded and reflected in the Guest Folio. Proceed to add payment for the new charges. Click “Folio” icon.
Step 8 : Click “Add Payment”.
Step 9 : Select the Room Charges you want to add payment. Note that the amount from the initial payment is already added. You will get the remaining amount that needs to be paid for the new room.
Step 10 : Choose the Payment Method and the relevant Payment Account.
**Corporate account – if your guest paid to online travel agent (OTA) for the upgrade. Otherwise, you can select the payment methods that your guest used to pay you for the upgrade.
Step 11 : Click “Add Remark”. Add remarks mentioning the payment is added following the room upgrade.
Step 12 : Click “Save Payment”. The upgrade charges incurred by guest has now been paid.
Step 13 : Click “Generate Receipt” or “Print Folio” icon buttons to view or download the receipt and folio respectively.
