How Hotel Handle the Guest Folio for Change of Room Type During Guest’s Stayover

Hello Softinn PMS user!

Let’s imagine that you have a guest who will check-in on 18th Nov for 2 nights for Deluxe Room. After his 1st night stay, the guest requests to upgrade the room to Pool Chalet for his 2nd night.

Steps to Handle the Guest Folio for Change of Room Type During Guest’s Stayover:


Follow the guidelines below:

Step 1 : Login to Softinn PMS

Step 2 : Select the correct property

Step 3 : Click Reservation

Step 4 : Click “Edit” button to edit the selected reservation

Step 5 : Firstly, untick the “Follow Date” to edit the date for Deluxe Room to be 18th -19th Nov

Step 6 : Click “Add More Room” to add Pool Chalet room type

Step 7 : Untick the “Follow Date” to edit the date to be 19th -20th Nov

Step 8 : Select the Pool Chalet room type & room number

Step 9 : Insert the Daily Rates for Pool Chalet

Step 10 : Click “Save Reservation

Step 11 : Click “Folio” button to open the guest folio for the reservations

Step 12 : On the Deluxe Room Guest Folio page, click “Arrow” icon next to the “Refund” button to move the payment to another folio

  • Click “Move” button

Step 13 : Choose the folio number that you wanted to move the folio item to

Step 14 : Click “Move Item” button

Step 15 : On the Pool Chalet Guest Folio page, click “Arrow” beside “Refund” button to reassign the Deluxe Room payment to Pool Chalet

  • Click “Edit” button

Step 16 : Select the Pool Chalet room charges and click “Save Payment

Step 17 : Click “Add Payment” button to add the payment for the remaining amount.

  • Tick the Pool Chalet charges
  • Select the Payment Method and Payment Account
  • Click ” Save Payment
