Hello Softinn Task Users!
On Softinn Task, Front Desk users can create maintenance tasks directly from the Room Status page.
Let’s look into two scenarios.
Scenario 1: You want to create a maintenance task right away from the Room Status page without selecting a room yet.
Scenario 2: Room D007 needs its toilet bowl changed, so you want to create the task directly from that room’s page.
Let’s check out this video to find out how to create a maintenance task on the Room Status page.
Step 1: Log in to Softinn Task and select the correct property.
Step 2: Go to the ‘Front Desk’ tab and click on ‘Room Status’.
Scenario 1: Creating a Task Without Selecting a Room First
Step 3: To create a task without selecting a specific room, click the ‘Add Task’ button.
Step 4: On the ‘Create Task’ pop-up, select ‘Maintenance’ as the task type.
Step 5: Select the location for the task.
Step 6: You can upload a photo of the issue, up to 1 photo with a maximum file size of 4 MB.
Step 7: Fill in the description of the issue.
Note: If the room needs to be closed for the maintenance work, tick ‘Close Room?’ and select the Close Duration, which is the date range the room will be unavailable.
Step 8: Select the status and priority for the task.
Step 9: You can also assign the task to a technician under ‘Assigned To’.
Step 10: Once done, click ‘Save’.
Scenario 2: Creating a Task Directly From a Room’s Page
Step 11: Since Room D007 needs its toilet bowl changed, click on the Room D007 card.
Step 12: On the room details page, click ‘Create Maintenance Task’ on the right side of the page.
Note: Since you’re creating the task from a specific room’s page, the Location field will already be filled in for you.
Step 13: Fill in the remaining details, such as Photo, Description, Close Room? (if needed), Status, Priority, and Assigned To, then click ‘Save’.
