Hi Softinn PMS and BE users.
We have improved our current “Sync allotment with Softinn Booking Engine (BE)” feature, and made your BE now works like an OTA (such as Agoda or Booking.com).
Along with this improvement, we have moved the “Sync allotment with Softinn Booking Engine” setting to a dedicated page in PMS. We labeled it as “PMS x BE Sync Settings”.
With this “PMS x BE Sync Settings”, your rooms’ availability, rates, and inventory updates would be synced between Softinn PMS and Softinn BE.
Overview of Softinn PMS x Softinn Booking Engine (BE) Sync Settings feature:
Follow the guidelines below:
Step 1: Login to your PMS Account
Step 2: To enable the “Sync”, navigate to “Setup”, then select “All Setup”, and look for “PMS x BE Sync Settings“.
This is how the “PMS x BE Sync Settings” page looks like.
On the “PMS x BE Sync Settings” page, you are able to perform:
- Setup to sync BE bookings to PMS, and PMS allotment to BE;
- Setup to auto adding payment transactions into guest folio for booking received from BE;
- Setup for BE rate plan mapping with the PMS rate plan; and
- Setup for tax mapping for booking received from BE.
If the system detects there is any upcoming BE booking that has yet to be created in PMS, you are given a quick function to pull those BE bookings into PMS with just 1 click before you could enable the “Sync Bookings and Allotments”.
Apart from that, we strongly advise you to complete the setup for rate plan mapping, tax mapping, and also BE payment collection setup BEFORE you enable the “Sync Bookings and Allotments”.
This is because, right after the “Sync Bookings and Allotments” is enabled, any new BE booking will automatically be pushed into Softinn PMS. Also, the allotment from the Softinn PMS Inventory page will be updated to your BE’s availability on the BE Inventory page.
With the “Sync” enabled, BE’s availability will be the same as PMS’s.
Moreover, if you have set up the “BE payment collection” mapping, you shall see the payment transaction is automatically added to the guest folio in Softinn PMS for the paid booking received from Softinn BE.
In addition, if you have done the BE rate plan mapping with the PMS rate plan, the BE reservation that was automatically pushed into Softinn PMS will be attached to the correct rate plan name. This can be seen on the guest folio of the booking.
Furthermore, the tax mapping is now made available to the BE bookings too! If you have completed and enabled the tax mapping for Softinn BE booking in PMS, the bookings received from BE that were synced into Softinn PMS will have the tax breakdown following your tax mapping done in PMS.
This “PMS x BE Sync Settings” page will have user access control. This is what you will be seeing if you do not have access to this page. Please reach out to your hotel supervisor to grant you access to this page, if needed.
Last but not least, any changes or updates by the user to this page will be recorded in the Activity Log report too for audit trail purposes.
