How to Sync Bookings & Allotment between Softinn PMS and Softinn BE (PMS x BE Sync Setting)

Hello Softinn PMS and BE subscribers! Your rooms’ availability, rates, and inventory updates could be synced between Softinn PMS and Softinn BE. 

Let’s check out this video to learn how to enable the sync for booking & allotment between Softinn PMS and Softinn BE. 

Steps to Enable Sync of Bookings & Allotments between Softinn PMS and Softinn Booking Engine (BE):


Follow the guidelines below:

Step 1: Login to Your PMS Account

Step 2: To enable the “Sync”, navigate to “Setup”, then select “All Setup”, and look for PMS x BE Sync Settings.

Step 3: Then at the “Bookings & Allotments” section, tick on the checkbox of “Sync bookings and allotment with Softinn BE”.

If the system detected there is any upcoming BE booking that has yet to be created in PMS, you are given a quick function to pull those BE bookings into PMS with just 1 click before you could enable the “Sync Bookings and Allotments”.

Please wait for 5 mins for the system to pull and create BE bookings into PMS. Click to refresh the page after 5 mins. You shall see those BE Bookings have been pulled into PMS from the reservation main page.

Step 4: Once you are ready to enable the Sync of Bookings & allotment, tick on the checkbox of “Sync bookings and allotment with Softinn BE”, and click on the “Save Changes” button.

Once this has been enabled, the next newly paid bookings from Softinn BE will automatically be pushed into PMS. Booking cancellations from Softinn BE will also be updated to PMS. Availability in BE and PMS will be synced accordingly.

Apart from this, with the “Sync” enabled, any changes in the allotment from the Softinn PMS Inventory page will be updated to your BE’s availability on the BE Inventory page. For example, when you created a Walk-In reservation in the PMS or created a maintenance allocation in the PMS Calendar page, it will reduce your PMS inventory, and the allotment update will be synced to BE inventory page too.

If you do not want to receive a booking from BE for a particular date, you are advised to apply a “Stop-Sell” restriction to BE’s rate plan on Softinn BE.

Last but not least, the availability on Softinn BE Inventory page can be reduced manually, however, it can’t be increased. The increase in availability can only be done from PMS.

Extra Notes:

  1. Most of the time, both the PMS and BE availability left will be the same unless you set a “Max BE Selling Unit” to lower than the available unit.
  2. Any changes to the Softinn BE’s availability shall be controlled from the Softinn PMS Inventory page.
  3. You also might experience that the available unit left on BE Inventory page is lesser than the available unit on the PMS Inventory page. This could happen when there’s a pending payment booking from your Softinn BE.
  4. Another possible reason would be because the max BE Selling units have been set to be lower than the built unit in Softinn BE Inventory page.
