Edit Guest Folio for Changes in Miscellaneous Services & Charges

Hello  Softinn PMS  users! Guest Folio features contain all transactions for each of the Hotel guests which include payment and charges. 

In the Guest Folio page, you could update or edit when the guests request to make changes to the miscellaneous Services during their stay at your Hotel. For example, the guest would like to amend their pre-booked for the Spa or they would like to have additional breakfast, and etc.

Steps when Guest Request Cancel the Miscellaneous Services (Not Yet Paid):


Follow the guidelines below:

Step 1 : Go to Softinn PMS

Step 2 : Select the right property

Step 3 : Create the Reservation and click ‘Check-in

Step 4 : Click ‘Guest Folio

Step 5 : Click ‘Reverse‘ to cancel the miscellaneous services charges

Steps when Guest Request Cancel the Miscellaneous Services (Paid):


Follow the guidelines below:

Step 1 : Go to Softinn PMS

Step 2 : Select the right property

Step 3 : Create the Reservation and click ‘Check-in

Step 4 : Click ‘Guest Folio

Step 5 : Click ‘Reverse‘ to cancel the miscellaneous services charges

Step 6 : Click ‘Add Refund‘ to refund the payment for miscellaneous services

  • Fill in the refund amount and choose the right payment account
  • Click ‘Refund

Steps when Guest Request Add the Additional Miscellaneous Services (Paid):


Follow the guidelines below:

Step 1 : Go to Softinn PMS

Step 2 : Select the right property

Step 3 : Create the Reservation and click ‘Check-in

Step 4 : Click ‘Guest Folio

Step 5 : Click the ‘Misc./Others ‘ to add another the miscellaneous services

  • Select the correct applicable date for miscellaneous services
  • Select the correct item type and insert the price
  • Click ‘Add Charge

Step 6 : Click ‘Add Payment‘ for the miscellaneous charges

  • Fill in the payment received amount and select the right payment account
  • Click ‘Save Payment

You also can change the payment method for the payment that you’ve added.

Step 1 : Click ‘Void’ button to void the transaction for the wrong payment method

  • Insert Remarks and click ‘Void Transactions

Step 2 : Click ‘Add Payment‘ to record the new transaction with the correct payment method

  • Insert the payment amount and select the Payment Method & Payment Account
  • Click ‘Add Payment

Steps when Guest Request Change the Types of Miscellaneous Services (Paid):


Follow the guidelines below:

Step 1 : Go to Softinn PMS

Step 2 : Select the right property

Step 3 : Create the Reservation and click ‘Check-in

Step 4 : Click ‘Guest Folio

Step 5 : Click ‘Reverse‘ to cancel the miscellaneous services charges

Step 6 : Click ‘Misc. others‘ to add another type of miscellaneous services

  • Select the required details
  • Click ‘Add Charge

Step 7 : Click ‘Add Refund‘ to refund the remaining payment received

  • Fill in the refund amount and choose the right payment account and click ‘Add Refund
