How to Send Guest e-Receipts and e-Invoices in email from Guest Folio

Hello  Softinn PMS  users! Guest Folio features contain all transactions for each of the Hotel guests which include payment and charges. 

In the Guest Folio page, you can print and send the e-Receipt to your guest upon adding the payment. On top of it, you also can print and send the e-Invoice upon change the reservation status to ‘Check out’.

Steps to Send e-Receipts in email from Guest Folio:


Follow the guidelines below:

Step 1 : Go to Softinn PMS

Step 2 : Select the right property

Step 3 : Click RESERVATION” tab.

Step 4 : Find the reservation number. Click ‘Guest Folio‘ icon.

Step 5 : Click ‘Add Payment

  • Fill in the payment received amount and select the right payment account
  • Click ‘Add Payment

Step 6 : Click ‘Generate Receipt

Step 7 : Tick on List of Payment

Step 8 : Click ‘Generate Receipt

Step 9 : Click ‘Receipt List‘ to Print or Send the Receipt to the Guest or Void the Receipt

Steps to Send e-Invoices in email from Guest Folio:


Follow the guidelines below:

Step 1 : Go to Softinn PMS

Step 2 : Select the right property

Step 3 : Click RESERVATION” tab.

Step 4 : Find the reservation number. Click ‘Guest Folio‘ icon.

Step 5 : Click ‘Check out‘ and click ‘Yes, Check out Now

Step 6 : Click ‘Generate Invoice

Step 7 : Click on the “Arrow” next to the ‘Regenerate Invoice’ button to Print or Send the Invoice to the Guest

On top of it, you also can send the Whatsapp text to the guest directly from Whatsapp Web by clicking on the ‘Contact No’ of the guest in the Guest Folio page.
