Hello Softinn PMS user.
Managing the calendar in PMS is important so that you will be able to free up the room available and slot another reservation for that date as well.
Sometimes, you might experience a reservation with unassigned room in Softinn PMS. AT the first glance it might appear to be an “overbooking” to you.
However, if it is NOT an overbooking, another possible reason to have an unassigned room reservation is because of your PMS Calendar allocations are not optimised. Hence, the system is unable to automatically assign a room to that reservation.
Scenario : You received a reservation from Maria who booked for Three Bedrooms Deluxe from 20.Dec to 22.Dec for 2 nights from your Direct Booking Engine. However, PMS system failed to auto assign a room number to Maria’s reservation.
The first thing you need to do is to make sure that this is NOT an overbooking case, and hotel actually still have room for Maria.

Steps to Manage PMS Calendar to Free up Room Available in Softinn PMS :
Follow the guidelines below:
Step 1 : Go to Softinn PMS
Step 2 : Select the correct property
Step 3 : Click on the “Calendar” tab to go to PMS Calendar page
Step 4 : Check on the date of range and make sure you can optimised the PMS Calendar page
- Based on the scenario given, ig you move Giovanna Tee’s slot to room OBA002 on the PMS Calendar page, you have literally free up the room OBA001 for Maria’s reservation
Step 5 : To move Giovanna Tee reservation, just drag the bar and then drop it to OBA002.
Step 6 : Subsequently, to assign room to Maria’s reservation, go to the Reservation main page, select “Without Room” filter, and you shall see Maria’s reservation.
Step 7 : Click the “edit reservation” icon, and then assign a room to Maria. Save the changes made to the reservation in order to complete the process.

- Other than that, from the PMS Reservation page, you can see the ribbon for the alert when there is Without Room assigned reservation from the OTA and direct booking engine, if any.
- After that, you could click on “Get Reservation Here” and it will filter the lists of Without Room assigned reservations.
