Hello Softinn PMS user! So you have done all the necessary setup for your Housekeeping? Good!
Now you can start adding cleaning tasks for your housekeepers. You could decide if you want a housekeeping task to be added automatically by system or you add it manually. For auto-generated housekeeping tasks, they will be added by system after each night audit.

Steps to Manage Housekeeping Task on Softinn PMS
Follow the guidelines below:
PART 1: How to Add a Housekeeping Task
Step 1 : Login to Softinn Extranet: https://booking.mysoftinn.com/
Step 2 : Select the right property
Step 3 : Click on your email ID on the top right of the page.
Step 4 : Click “Go to PMS”. You will be automatically logged-in to Softinn PMS.
Step 5 : Click “Housekeeping”. You’ll see how the Housekeeping page for Front Desk Officer.
Option 1: Auto-Generate Housekeeping Task by System
NOTE: System will auto generate housekeeping task after night audit for rooms that are going to:
i. Have back-to-back Check-out & Check-in
ii. Have guest check-in today
iii. Have guest check-out today
Step 1 : On Housekeeping page, turn on the “Auto-Generate” button.
Step 2 : Hover your mouse to the “i” icon to understand the Auto generate task priority info.
Option 2: Manually Add a Housekeeping Task
Step 1 : Click “Add Cleaning Task”
Step 2 : Select “Room Type”
Step 3 : Select “Room No.”
Step 4 : Check the Room Status
Step 5 : Click to set the task date, or it will be today’s date
Step 6 : Select the Housekeeping Status.
Step 7 : Choose a Housekeeper’s Name.
Step 8 : Tick the “Need Inspection” box for inspection after cleaning, if you want to.
Step 9 : Select the name of Inspector (if needed).
Step 10: Select “Priority” to set how important and urgent the room needs to be cleaned.
Step 11 : Click “Save Changes” . The cleaning task has been added
Part 2: How Housekeeping Task List appears to Housekeeper
Step 2 : Cleaner will see the housekeeping task in the Housekeeper Task List. Cleaning task is ranked according to priority.
Step 3 : Housekeeper clicks “Start Cleaning” button. Housekeeper will view more details in a task list, if there is any.
Once Cleaner clicked “Start Cleaning”, Front Desk Officer will see…
(i) From “Room Status” the “Broom” icon is lighted with Green colour when the room is on cleaning.
(ii) Housekeeping Status changed to “Cleaning”. Front Desk Officer would also see the time the housekeeper started cleaning.
When cleaning is done, Housekeeper will:
Step 4 : Housekeeper clicks “Done Cleaning”.
Part 3: How Housekeeping Task List appears to Cleaning Inspector (optional, if your hotel has one)
For cleaning Inspector:
Step 2 : Inspector would see a list of housekeeping task that needed his inspection
Step 3 : Inspector clicks “Inspect” & check if these items have been cleaned by Housekeeper.
Step 4 : Inspectors clicks “Complete Inspection” when he is satisfied that all item in cleaning checklist is cleaned.
Once Inspector clicked “Inspect”, Front Desk Officer will see…
(i) Housekeeping Status turned to “Inspecting”.
(ii) You would see the name of the Inspector assigned to.
Finally, when a cleaner clicked “Done Cleaning” (for task that inspection was not required) OR when inspector clicked “Complete Inspection” (for task that inspection was required), Front Desk Officer will see Housekeeping Status turned to “Ready”.
