Hello Softinn PMS User, wonder how to record refundable security deposit collected from your guest in PMS?
There are 2 ways to record refundable security deposit in PMS:
1. When adding Reservation
2. By manual record into Guest Folio

Steps to Record Refundable Security Deposit Collected from Your Guest in PMS:
Follow the guidelines below:
Part 1: Record Security Deposit when Adding Reservation
Step 1 : Login to Softinn PMS.
Step 2 : Select the right property
Step 3 : Click “Reservation”
Step 4 : Click “Add New Reservation”. Fill in booking, guest and room charge details.
Step 5 : Refundable Security Deposit amount is already pre-set according to the amount you’ve setup. Proceed to Select Payment Method used by guest and Payment Account. Click “Add Remarks” and type in Remarks. Add Payment, if any.
Step 6 : Save Reservation. The reservation has been successfully added.
Step 7 : Click “Folio” icon on the reservation in reservation list. Check that Security deposit collected while creating reservation is recorded in Guest Folio
Part 2: Record Security Deposit by Manual Record into Guest Folio
Step 1 : On Reservation page, after you have found the reservation that you want to record refundable security deposit, click the “Folio” icon.
Step 2 : Click on “Collect Deposit”.
Step 3 : Refundable Security Deposit amount to be collected from guest is already pre-set. You can choose the payment method and payment account of guest.
**NOTE: Payment account refers to the types of payment guest used in paying refundable security deposit.
Eg. Cash – cash on hand
Step 4 : Click “Add Remark” and type in the remark, if any.
Step 5 : Once done, click “Save Payment!”. Then, click on “Yes,add it!” and “OK”. The refundable security deposit had been added into current folio. There will be a “Refund” button show for refundable security deposit.
**NOTE: Debit (Charges) is the amount charges to guest.
**NOTE: Credit (Payment) is the amount paid by guest.
Refund the Security Deposit to Guest Upon Check-out
Step 1 : Click the arrow beside the “Refund”. You can edit or delete the item added.
Step 2 : When the deposit has refund to guest, click the “Refund” button,
Step 3 : Choose the payment method and payment account of refund.
Step 4 : Once done, click “Refund”, “Yes,add it” and “OK”.
Step 5 : A “Security Deposit(Refund)” transaction will be added. This means the hotels has refunded the deposit to guest.
Step 6 : Click “Generate Receipt” to print out the receipt of guest. Click “Folio” to print out the a hardcopy of the folio.
