How to Record Security Deposit and Refund Security Deposit in Guest Folio

Wonder how to record refundable security deposits collected from your guest in PMS?

Steps to Record Refundable Security Deposit Collected from Your Guest in PMS:


Follow the guidelines below:

Step 1 : Login to Softinn PMS

Step 2 : Select the correct property

Step 3 : Click Reservation

Step 4 : Select the correct reservation

Step 5 : On the Reservation page, click the “Guest Folio” icon for the reservation that you want to add the refundable security deposit

Step 6 : Click on “Security Deposit” and click “Collect Deposit

Step 7 : Insert the Amount for Refundable Security Deposit. Next, choose the payment method and payment account of the guest.
**NOTE: The payment account refers to the types of payment guests used in paying a refundable security deposit.
Eg. Cash – cash on hand

Step 8 : Click “Add Remark” and type in the remark, if any.

Step 9 : Once done, click “Add Deposit”

The refundable security deposit had been added to the current folio.

Steps to Refund the Security Deposit to Guest Upon Check-out in PMS:


Follow the guidelines below:

Step 1 : Go to guest folio and click “Add Refund” button on “Security Deposit” tab

Step 2 : Insert the Refund amount

Step 3 : Choose the payment method and payment 

Step 4 : Once done, click “Add Refund”

Step 5 : A “Refund Deposit” transaction will be added. This means the hotels have refunded the deposit to the guest.
