How to Add Reservation for a Walk-in Guest that Check-in After Midnight in Softinn PMS

Hello Softinn PMS user!

Imagine that you have a walk-in guest who arrives and check-in after midnight.

Check out this video to find out how to create a reservation for this guest in  Softinn PMS  🙂

Steps to Add Reservation for Walk-in Guest that Check-in After Midnight in PMS:


Scenario 1 :

The midnight walk-in guest stays for a few hours and check-out on the same day. Let’s just say a walk-in guest arrives at your hotel at 3.30 am in the morning. He would like to stay only for a few hours and check-out later in the noon on the same day.

Follow the guidelines below:

Step 1 : Login to Softinn PMS

Step 2 : Select the correct property

Step 3 : Click “Create Reservation

Step 4 : Select the booking source and insert guest’s details in the Main Contact section

Step 5 : Choose current check-in date & time and the check-out date

Step 6 : Tick on the “Check guests in upon save?” option

Step 7 : Select room type and choose room number

Step 8 : For the room charges & taxes, select a rate plan, or insert the daily rates by clicking on the “Dollar” sign icon.

Step 9 : Tick the applicable taxes, if any.

Step 10 : Record the payment received by clicking on the “Pencil” icon from the “Total Payment Collected” section.

Step 11 : Record refundable security deposit by clicking on the “Pencil” icon from the “Total Deposit Collected” section.

Step 12 : Click on “Save” icon in green to save the reservation.

If you have ticked the checkbox to check-in this reservation upon save, you shall see this newly added reservation status has automatically been updated to “Checked-In”.

Scenario 2 :

Let’s imagine that you have a walk-in guest arrives at your hotel at 3.30 am in the morning, request to stay for more than 1 night and check out in the following day. According to your hotel policy, the guest is required to pay for 2 nights:

  • 1st Night: 27th October 3.30am to 27th October 12.00pm
  • 2nd Night: 27th October 12.01pm to 28th October 12.00pm

Follow the guidelines below:

Step 1 : On Create Reservation Form, select the booking source and insert guest’s details in the Main Contact section

Step 2 : Choose current check-in date & time and the check-out date

  • 1st Night: 27th October 3.30am to 27th October 12.00pm

Step 3 : Tick on the “Check guests in upon save?” option

Step 4 : Select room type and choose room number

Step 5 : For the room charges & taxes, select a rate plan, or insert the daily rates by clicking on the “Dollar” sign icon.

Step 6 : Tick the applicable taxes, if any

  • Note : This is for the first night hourly basis booking

Step 7 : Click on the “Add group for other dates” tab

Step 8 : Select the second night stay check in and check out date

  • 2nd Night: 27th October 12.01pm to 28th October 12.00pm

Step 9 : Select the same room type and same room number

Step 10 : For the room charges & taxes, select a rate plan, or insert the daily rates by clicking on the “Dollar” sign icon.

Step 11 : Tick the applicable taxes, if any

  • Note : This is for the second night stay

Step 12 : Record the payment received by clicking on the “Pencil” icon from the “Total Payment Collected” section.

Step 13 : Record refundable security deposit by clicking on the “Pencil” icon from the “Total Deposit Collected” section.

Step 14 : Click on “Save” icon in green to save the reservation.

If you have ticked the checkbox to check-in this reservation upon saved, you shall see this newly added reservation status has automatically been updated to “Checked-In”. For the second night stay, you can check it in after you have checked-out the reservation for the first night and mark the room as clean on the Room Status page.
